Workflow Audit Checklist

A checklist for auditing existing workflow automations to ensure they are accurate, efficient, and still relevant.

Inventory and Documentation

  • List all active workflows, automations, and triggers across your tech stack
  • Document the purpose and owner for each workflow
  • Note the creation date and last modified date for each workflow
  • Identify workflows with no documented owner (orphaned automations)
  • Flag duplicate or overlapping workflows that may conflict with each other
  • Record which tools or systems each workflow connects to

Logic and Accuracy Review

  • Verify enrollment criteria are still valid and match current business rules
  • Check for outdated field values, picklist options, or references in conditions
  • Confirm that branching logic produces the correct outcomes for each path
  • Test each workflow with sample records to verify expected behavior
  • Review delay steps and wait timers for appropriate duration
  • Ensure exit criteria prevent contacts from getting stuck in loops
  • Verify that re-enrollment settings are intentional, not accidental

Performance and Efficiency

  • Check workflow error logs for recurring failures
  • Identify workflows with low enrollment or zero executions in the past 90 days
  • Review execution time for workflows that run on high-volume triggers
  • Flag workflows that trigger excessive API calls or rate limit warnings
  • Check for unnecessary steps that add complexity without adding value
  • Identify opportunities to consolidate multiple workflows into one

Compliance and Data Integrity

  • Confirm all email-sending workflows respect opt-out and suppression lists
  • Verify GDPR and CAN-SPAM compliance for any outreach automations
  • Check that data modification workflows do not overwrite manually entered values
  • Ensure deletion or archival workflows have appropriate safeguards
  • Review permission settings to confirm only authorized users can edit workflows

Post-Audit Actions

  • Deactivate workflows with no activity in the past 90 days (after confirming they are not seasonal)
  • Update documentation for all reviewed workflows
  • Assign or reassign owners for orphaned workflows
  • Schedule the next audit (recommended quarterly)
  • Share audit findings and action items with the ops team
